During your stay abroad

Some of our ERASMUS program partner universities require that the learning agreement (for the courses you’re attending) be updated and signed during your stay abroad. Please fulfill this requirement of the partner university. Otherwise you will be obliged to submit to the International Office a copy of the learning agreement, signed by the partner university, after your return.

Regardless of whether you are studying abroad as part of the ERASMUS program or a non-EU program, please keep in mind that you should have potential changes in your course selection abroad agreed upon by the relevant contact person.

Attention! In order to have your study abroad semester/year recognized, it is, depending on your major, necessary to take a certain number of courses (or acquire a certain number of ECTS credits). For more information, please look at our website under recognition (also look at the FAQs for KuWi, WiWi), which is arranged by faculty.

Extending your stay abroad

If, as part of the ERASMUS program, you went abroad during the winter semester (WiSe), an extension to stay abroad for the summer semester (SoSe) is usually possible. For that, however, you need to obtain the agreement of the International Office and that of the partner university. Nevertheless, extensions from the summer to the winter semester are not possible within the ERASMUS program. The International Office must check separately if the ERASMUS Mobility Grant can be disbursed for the second semester. This depends on whether or not the exchange spots at the partner university have been used up.

The spots for studying abroad within Europe are basically assigned for the agreed upon time (e.g., 6 or 10 months). In most cases, it is about a 1-semester stay that can often be extended (but often without Erasmus funding). In most cases in which the agreement extends to 10 months, there is also the possibility to for just one semester. In very rare cases (this will be noted in the list) you will HAVE to be there for the entire 10-month period.

Regarding stays as part of the non-EU Program, it is possible to get an extension under certain circumstances regardless of the semester. For more information, please contact the corresponding contact at the International Office.

The spots for stays outside of Europe are basically assigned only for 1 semester (mostly Australia, Canada, USA). However, exceptions are possible in many cases (e.g., Russia, Latin America).

After your stay return

After completing your stay abroad please visit the International Office within the first four weeks of your return to submit all the necessary documents as well as to apply for recognition of your abroad-earned credits. The following documents are to be submitted upon your return:

ERASMUS Program

1. Learning Agreement
2. Study-abroad report (multiple choice and self-authored report)
3. Receipt of the ERASMUS Moblity Grant
4. Letter of confirmation of the host institution
5. Transcript of records of the partner university (This is mostly sent directly from the partner university to the International Office. You will receive an email notification upon its arrival and can pick it up from AM 213.)

Non-EU program

1. Stay-abroad report: informally written, referring to the living conditions and experiences at the partner university. As a guide, you can include the following points:

  • Preparation (planning, organization and applying to the host university)
  • Housing situation
  • Studying conditions at the host university
  • Everyday life and leisure activities
  • Conclusion (best and word experience)

2. Transcript of records of the partner university (This is mostly sent directly from the partner university to the International Office. You will receive an email notification upon its arrival and can pick it up from AM 213.)
